Registration of Foreign Visitors

 

Registration of Visitors from Foreign Countries:  

Some of the NGOs may be having visitors from other countries to see the organisation's activities, the area of operation. meeting with staff etc. and to gain firsthand knowledge of the way the organisation is working with and for the beneficiaries. 

These visits can be exchange visits, even some educational institutes sponsor their students as an intern to gain grassroot level knowledge of the subject area they are interested in.

When the visitors comes to your organisation:

* You should have meeting with them alongwith other staff who are going tobe directly or indirectly dealing with them.

* The first and foremost thing about their security - you should see that the area they are going to visit doesnt have any security concerns.

* Get photocopies of the visitors passport, workpermit/internship documents, a document from their institute about the purpose of these visitors.

* Plan your programme with them and see which of the areas you plan to take them and how long they are going to stay in that area.

* Ensure that you have the contact phone numbers of the visitors and also their home/office contact details.

* The most important thing that you need to share with the visitors is the 'Dos and Don'ts' during their stay - e.g. what sort of dress they should wear, whether it is allowed to smoke, drink in the villages or any other places they visit, and you need to brief them about the local culture  and how to respect etc.

 

Registration :

Once you have planned the itinerary of the visitors

*You should go to the nearest Police Station - at District level - Superintendent of Police) alongwith the visitors.

 * You should prepare a letter signed by the Chief Functionary addressing the SP and copy to the District Magistrate and the concerned Tahasildar and Police officials of the area where they are going to be based, informing them about this visit, the purpose, and for how long they are going tobe in that area or in the State or in the country.

* In State Capitals you will find spearate wing for foreigners registeration - if you have one, then the covering letter alongwith Photocopies of the Foreigners Passport/Visa, copy of letter from their institute, your organisation's activity report.

* If the cocerned officials ask for more information, you should provide them.  If they want to see the visitors, they should accompany you.

* If your organisation is in a far off place and  not able to come to the State Capital, you can intimate the same to the District S.P. and the District Magistrate with a copy to the SP (Foreigners Cell) at state headquarters.
